Privacy and Cookie Policy

1. Who we are

Be Your Own Coach Ltd is the organisation responsible for your personal information (the "controller"). We are a company registered in England & Wales (company number 16219752) and our registered office is at 13 Stockport Road, Marple, Stockport, SK6 6BD.

2. What we hold and why

Your account. Name, email address, time zone, the organisation you belong to, and your password, which is stored in a scrambled form that we cannot read. To give you access to the platform and to contact you about your account. Providing the service that you or your organisation has arranged with us (contract, or our legitimate interests where your organisation arranged it). Until your account is erased. A closed account is deactivated first, and erased permanently when you ask us to.
Your use of the content. Which videos you have started and finished and where you stopped, the notes you write, and the feedback and questions you send us. To pick up where you left off, to show your progress, and to answer your questions. Providing the service. Until your account is erased. You can delete your own notes at any time.
Pages you visit while signed in, and when. To understand which parts of the platform are used, and to report usage to the organisation that arranged your access. Our legitimate interests in running and improving the platform. 90 days.
Sign-in records. The internet address and browser used each time you sign in, and when you last signed in. To keep accounts secure. Our legitimate interests in keeping the platform secure. Each record is deleted within a day of that sign-in ending, which is at most 7 days after you last used it. When you last signed in is kept with your account.
Enquiries. The name, email address, phone number, company and message you give us in a contact or consultation form. To reply to you. Enquiries are passed on to us by email rather than stored on the platform. Our legitimate interests in answering you, or taking steps you ask for before entering a contract. For as long as we are dealing with your enquiry and any work that follows from it.
Newsletter and marketing emails. Your email address and name. For members who opt in, also your organisation's name and whether your membership is current. To send you the newsletter, coaching tips and news. Your consent. Members are only added if they tick the box on their profile. Until you unsubscribe, which you can do from any email or from your profile.

Shared video pages count how many people have watched. They do this with an anonymous code that cannot be turned back into your internet address or used to recognise you anywhere else.

Our administrators can see your account and your activity, and can view the platform as you see it, in order to help you when something is not working. Each time they do so is recorded.

We do not sell personal information, and we do not use it to make automated decisions about you.

3. Who we share it with

Your organisation. If your employer or another organisation arranged your access, we give it reports on how its people are using the platform. These can show who has signed in and what they have watched and completed.

Companies that provide services to us. They may only use your information to provide that service:

  • Amazon Web Services hosts the platform and stores its files. Files and database backups are stored in Ireland.
  • Cloudflare protects the site and delivers it quickly. All traffic to the site passes through it.
  • Resend sends the emails the platform generates, such as password links and enquiries.
  • MailerLite sends the newsletter and marketing emails.
  • Vimeo plays the videos. Your browser connects to Vimeo when you watch one.
  • Google provides the check on the newsletter sign-up form that tells people from automated programs (reCAPTCHA).

Some of these companies are based outside the UK, including in the United States. Where your information is transferred outside the UK it is protected by safeguards that UK law recognises, such as an adequacy decision or standard contractual clauses.

We will also share information where the law requires us to.

4. Cookies

We only use cookies that the site needs in order to work. We do not use advertising or analytics cookies, so there is nothing for you to accept or refuse.

You can block or delete cookies in your browser's settings, but you will not be able to sign in without them.

5. Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • have it corrected if it is wrong. You can change most of it yourself on your profile;
  • have it erased;
  • object to how we use it, or ask us to restrict how we use it;
  • withdraw your consent to marketing emails at any time;
  • receive the information you gave us in a form you can take elsewhere.

To use any of these rights, email [email protected]. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint.

6. Changes to this policy

We may update this policy. The date at the top of this page shows when it last changed.
